Boxed studios Booking terms and conditions Terms are automatically agreed once a booking has been made

1. Booking confirmation

1a. A booking is considered confirmed after Boxed Studios receives a cleared balance payment.

2. Booking Times

2a. Booking times start as per confirmed time, if the client is late the booking will still end at the original finishing time otherwise charges will occur.

3. Set up and take down time

3a. The client must include set up and take down/clean up time with the hours booked to avoid overtime charges

4. Leaving the studio in a reasonable state

4a. Studio space must be left in a reasonable state and left as found at the beginning of the clients booking. Boxed studios reserves the right to charge an appropriate fee (starting from £20) for any cleaning/damage repair we are required to conduct after your booking in order to restore the studio to its original state.

5. Minors

5a. Studio hire clients must ensure that all minors under the age of 16 are always accompanied by a chaperone. Minors must have parental guardians permission to be at the studio and to be filmed/photographed as organised by the person who booked the studio.

6. Public liability

6a. The client must ensure that they have the public liability insurance for all persons in the studio during the hours of use, to cover any accident damage, injury or death. The booker will be responsible.

6b. Although food/drink (non alcoholic) is permitted to be consumed within the studio hire booking, the client who booked the studio is responsible for all allergies and complications that can arise from perishable/consumable items.

7. Use of equipment

7a. Studio hire comes with a range of lighting and studio equipment as standard. With extras to be hired out at the request of the booker. All equipment used must be returned promptly at the end of the hire period in the original condition and the client is liable for repair or replacement costs that occur from damaged or missing equipment.

7b. The client may not without the written consent of Boxed studios; Remove equipment from the studio premises Modify or alter or tamper with equipment in anyway Use the equipment in a manner not recommended by the manufacturer None of the equipment to be used by any untrained or unauthorised personnel

7c. With use and hire of the IMac, Boxed studios is not responsible for the client not having a harddrive available, if requested by the client that the images be transferred to an email, Boxed studios will send the images within 48 hours of receiving the files, but will only keep the files on our system for a period of 72 hours.

7d. If there is an error with the IMac and loss of files, Boxed studios holds no liability in such an event.

8. Breakages, losses and damages

8a. The studio hire client is responsible for any breakages, losses or damages caused to the studio or equipment by the client, or any other person(s), during the allotted booking time.

8b. All the equipment used is at the risk of the client and Boxed studios shall not be liable for any loss or damage to materials, props or equipment. This includes consequential loss of profit however caused, arising out of the use of, or the inability to use the equipment supplied or agreed to be supplied (all equipment is subject to availability).

8c. No alterations or additions to the studio space or equipment is permitted without prior written consent.

8d. The client must notify staff at the time of supply if the condition of the equipment is not acceptable, and shall pay any costs incurred by Boxed Studios arising out of any breach of the prior conditions.

8e. In the event that a client's product is returned via postal or courier services and is subsequently lost or damaged during transit, Boxed Studios shall not be held liable for more than the insured value of the shipment. It is the responsibility of the client to ensure adequate insurance coverage for returned items. Boxed Studios will make reasonable efforts to assist clients in tracking and resolving issues related to lost or damaged shipments, but ultimate responsibility lies with the postal or courier service provider. By engaging in transactions with Boxed Studios, clients agree to abide by these terms and conditions regarding return shipping and liability.

8f. Boxed Studios shall not be liable to the client for any loss, damage, expense or for any consequential loss (including loss of profit) arising out of or in connection with; Any damage to loss of property by the client or any third party. Any breakdown, stoppage or failure of the facilities/equipment provided by Boxed Studios.

9. Copyright

9a. By law content creators always own copyright to creative work produced. Usage rights may be granted to clients or 3rd parties depending on agreement. Boxed studios may request usage of images taken by clients for use as examples of shoots taking place in our studio, or taken behind the scenes images but will always be by prior agreement.

9b. Images involving models, voice overs or other talent will only be used where an appropriate model release form has been signed. We do not sell photographs to any third party unless agreed with clients.

10. Booking changes and cancellations

10a. Studio hire booking time can be changed with RE-BOOKING FEES as stated below, which depend on notice time provided; - Over 7 Days notice time provided: Full refund - 7 days notice time provided: rebooking fee equal to 10% of booking fee. - 3 days (72 hours) notice time provided: cancellation fee equal to 50% of total booking fee. - Less than 3 (72 hours) notice time provided: cancellation fee equal to 100% of total booking fee

10b. Studio hire which cannot be attended to, due to the client/clients team contracting COVID-19. The booking can be rescheduled any time before the booking if the client provides one of the following two:

  1. A Positive PCR Test

  2. A Screenshot of the NHS app which the person has scanned a Positive Lateral Flow test.

The booking will only be rescheduled if one of these two conditions are met, otherwise the booking will be considered under the same conditions as clause 10a.

11. Termination

11a. Boxed Studios may terminate any booking or hire contract if the client is found to be in breach of any terms and conditions.

11b. If a client is found to be aggressive, malicious or disrespectful to a member of Boxed studio staff, The staff member reserves the right to terminate any booking immediately and ban the client from any future bookings.

11c. If a previously banned client uses another person to book Boxed studios and is found to be within the building the current booking will be terminated along with the current client being banned from future bookings.

12. Noise

12a. Noise levels must be kept to a reasonable level during studio hire bookings. Clients are asked to consider other occupants and neighbouring residents when using the studio.

13. Payment terms

13a. For studio hire, payment to make a booking is immediate and a slot can not be booked without payment.

13b. For commercial projects shot by the Boxed Studios team a 50% deposit will be taken and the rest of the remaining balance will be collected upon completion of the project.

14. Non-solicitation

14a. Clients will not directly, indirectly, or on the behalf of others; - Solicit - Induce - Recruit - Encourage or otherwise Attempt to cause any employee, previous employee or consultant of Boxed Studios to perform any business/services to the client, or to terminate their relationship with Boxed studios.

15. Variations

15a. These terms and conditions are valid at time of booking and are subject to variation. Clients will be notified of any variations prior too booking.

16. Applicable Law

16a. All agreements shall be governed by the laws of the United Kingdom
